Safety regulations

Occupational Health & Safety

In terms of the Occupational Health & Safety Act No. 85 of 1993 (OCHSA) it is compulsory for all exhibitors and their sub-contractors working on the expo to comply with the Safe Working Practices, as well as the guidelines and regulations as set out in the act.

Complete compulsory indemnity Form No. 1 and return to the Organisers by deadline date 31st January 2020.

Staff and contractors shall be vigilant towards the effective management of health and safety and shall ensure that they comply with following practices which will be monitored and enforced by the Organisers:

• Aisles leading to emergency exits must be kept clear and unobstructed at all times. Minimum aisle width permitted is 3 metres.
• Hard hats are to be worn when working and access to hazardous areas must be restricted and monitored.
• Suitable personal protective equipment (PPE) including eye, ear, foot and hand protection is to be used where relevant.
• Flammable liquids and substances must be stored correctly and segregated from waste and other risk areas.
• Chemicals and hazardous liquids must be removed from the venue after the event and disposed of in a safe and proper manner.
• Hazardous materials must not be disposed of in general refuse areas.
• Portable power equipment is to be used correctly and all safety guards must be correctly fitted and used.
• Ensure that portable power equipment is used with a minimum length of trailing leads and not left unattended.
• Forklifts are not used by anyone other than fully trained and authorised personnel. Forklift operator licenses must be submitted to the event Organiser before work commences.
• The use of scaffolding structures must be carried out in accordance with established standards and legislation.

General safety requirements

The following aspects of fire safety must be reported to the Organiser prior to the start of build-up at the expo. This must be done in order to allow for liaison with and approval by the Fire and Emergency Services, Metro Police and South African Police Services where applicable.

• Approval for any open flame and gas display from the Fire Department must be applied for one month prior to the expo date. Exhibitors to indicate the intended use and safety precautions they are taking.
• The site visit by the Fire Department will take place one day prior to the expo date. Written permission from the Chief Fire Officer is required for storage or use of hazardous substances, flammable liquids, liquid petroleum, gas, open fires and demonstrations using naked flames or welding during the construction phase or demonstration of products during expo hours.

Insurance

The Organiser carries public liability, but is not responsible for insurance of exhibits on stands. It is the responsibility of all exhibitors to obtain full insurance coverage and to take out comprehensive protection for the duration of the show including transit to and from the show venue, and to advise companies sharing with them accordingly.

It is the duty of the principle exhibitor to communicate insurance cover to third party/sharing exhibitors.

Liability

The exhibitor acknowledges that the layout of the exhibit area and the large number of people present in the exhibition halls make it impossible for adequate security to be provided to protect the exhibitor’s merchandise and other property.

Accordingly, the exhibitor assumes all risk of loss for their merchandise, fixtures, displays and any other property of the exhibitor located in the exhibition area, storage or any other area where access has been provided to exhibitors by the venue; where such loss results from theft, vandalism or any other damage caused by any agent, employee of the venue or any other person either authorised or not authorised to be present at the exhibition hall.

It is recommended that all exhibitors consult their individual insurance representatives to obtain appropriate insurance coverage.
